Effective September 18, 2026Candidate Privacy Notice
This notice explains what happens to your personal data when an organization invites you to take an assessment on Evalynq. It is the general-reference version of the notice — the specific assessment you were invited to may show additional detail added by that organization during your own invitation and preflight flow, which takes precedence for that assessment where it says more than this page does.
Who is responsible for your dataThe organization that invited you (the "Organization") is the data controller for your recruitment — they decide why your data is collected and what happens to your results. Evalynq operates the platform on the Organization's behalf and instructions, as their data processor. See our
Privacy Policy and
Data Processing Agreement for the full detail of that relationship.
1
What we collect from you
- Your name, email, and application reference, provided by the Organization or by you.
- Where identity verification is enabled for the assessment: a government-issued ID or passport image, required before starting.
- Your assessment answers, including any files you upload, and — separately, if the Organization uses this feature — a CV you submitted during an earlier screening stage.
- Where camera or screen monitoring is enabled for the assessment and you have explicitly consented: periodic webcam snapshots, a one-time guided room-scan capture, and browser/device event logs (tab switches, fullscreen exits, copy/paste attempts).
- Where the Organization has enabled AI-assisted scoring or CV screening: your submitted answer or CV content may be analyzed by a third-party AI provider (currently Google's Gemini API) to suggest a score or match rating.
2
What we deliberately never do
- We never record continuous video — only still snapshots at disclosed moments.
- We never use facial recognition or any automatic identification of you or anyone else in frame.
- An AI suggestion is never the final word — a human reviewer at the Organization always makes the actual scoring, shortlisting, or hiring decision. Nothing about your result is decided automatically.
- Proctoring signals only ever produce an advisory flag for a human reviewer to look at — they are never treated as proof of wrongdoing on their own, and no automatic accusation or penalty is ever applied.
3
Why we process your data
Primarily because it is necessary to run the assessment you were invited to (a contractual necessity in the context of your application). Camera monitoring, screen-share monitoring, and the identity/room-scan capture are additionally always gated on your own explicit, separate consent — given via an unticked checkbox before that specific feature activates, never bundled into a broader agreement and never on by default.
4
How long we keep it
- Your ID document, proctoring evidence (webcam snapshots, room scans, screen captures), uploaded answer files, and CV are deleted automatically once the retention period the Organization configured for that assessment elapses — 30 days by default, and the Organization can set a different period for their own assessment.
- Your candidate profile and assessment results are retained for as long as the Organization's account with us is active, since they may need ongoing access to their own recruitment history.
5
Your rights
Depending on your location, you may have rights to access, correct, or request deletion of your data. Because the Organization controls your recruitment, they are ordinarily best placed to act on a request directly — deletion of a specific candidate's data is a feature they can use themselves. If you cannot reach them, or prefer to contact us directly, email support@evalynq.com and we will assist or route your request to the Organization.
